Buyers should prioritize paper weight (GSM); for professional use, 80-100 GSM is standard to prevent ink bleeding. The cover material (e.g., PU leather, hardboard, or PP) determines durability. Additionally, verify the binding method, such as thread stitching for 180-degree flat opening or double-wire O-binding for easy page turning.

Request certifications such as FSC (Forest Stewardship Council) to ensure sustainable wood sourcing. For the European market, ensure compliance with REACH regulations regarding chemical substances in inks and glues. For school-grade products, EN71 or CPSIA certification is essential to guarantee non-toxic materials.

Suppliers on Made-in-China.com usually offer OEM/ODM services, including debossed or embossed logos, custom inner page layouts (dotted, lined, or grid), and functional additions like elastic closures, ribbon bookmarks, or expandable inner pockets.

High-end notepads often use acid-free paper to prevent yellowing over time. Cream or ivory-colored paper is preferred for reducing eye strain during long writing sessions, while smooth-coated paper is better for fountain pen users to avoid feathering.

The primary risk is moisture damage during sea freight, which can warp paper. Ensure the supplier uses desiccants and waterproof inner packaging (polybags). Another risk is color deviation in printing; always request a pre-production sample (PPS) for color approval before mass production.

Focus on volume-based pricing tiers. For customized notepads, MOQs usually range from 500 to 1,000 units. You can negotiate a lower MOQ by using standard stock paper colors and only customizing the cover logo. Always ask for breakdown pricing to see the cost impact of different paper grades.

Utilize Trade Assurance services provided by platforms like Made-in-China.com to protect your payment until delivery. For shipping, LCL (Less than Container Load) is cost-effective for stationery, but ensure the outer cartons are double-walled (5-layer corrugated) to withstand stacking pressure.

Check the HS Code (typically 482010) for specific import duties in your country. Be aware of anti-dumping duties that some regions may apply to specific paper products from certain origins. Ensure all commercial invoices and packing lists accurately reflect the paper weight and material composition to avoid customs delays.
